Executive Assistant

The Executive Assistant will provide high-level administrative support to the Sr. Vice President, Managing Director ensuring efficient operations and facilitating effective decision-making. The ideal candidate is proactive, organized, and capable of managing a variety of tasks in a fast-paced and demanding environment. The Executive Assistant will handle sensitive company information, which requires absolute discretion. As a representative of the executive team, professionalism and clear communication are critical.

Duties and Responsibilities

  1. Communication: Strong verbal and written communication skills to effectively convey information to internal and external stakeholders. 
  2. Problem-Solving: Ability to anticipate challenges, propose solutions, and make decisions that align with company goals.
  3. Resilience: Ability to work under pressure, adapt to changes, and manage competing priorities with a positive attitude.
  4. Interpersonal Skills: Builds strong relationships within and outside the organization, handling requests and inquiries professionally.
  5. Accountability: Takes ownership of responsibilities, demonstrating reliability and delivering results consistently.
  6. Organizational Skills: Ability to manage multiple tasks, prioritize, and meet deadlines.
  7. Attention to Detail: Ensures accuracy and precision in all work, including documentation and scheduling.
  8. Time Management: Efficiently handles scheduling and ensures Sr. Vice President, Managing Director and corresponding team stays on task and on time.
  9. Discretion: Maintains confidentiality of sensitive company information and executive discussions.

Qualifications and Experience

Education: Bachelor’s degree in Business Administration, Communications, or a related field.

Experience: Minimum of five years of experience in an executive administrative role, preferably supporting C-suite executives.

Certifications: Certification as a Professional Administrative Assistant (CAP) or similar is preferred.

Specific Skills:

  1. Strong writing and editing skills for correspondence and presentations.
  2. Advanced proficiency in MS Word, Excel, PowerPoint, Outlook, Teams, Zoom  and Calendar Management.

Specs 

  • Job Type: Full Time in Office, Mon – Fri
    • Occasional after-hours work may be required during critical periods or urgent tasks.
  • Positions available: 1
  • City/Province: Woodbridge, ON
  • Salary: $65-80 K with 2 weeks’ vacation including benefits
  • Travel Requirements: May be required to occasionally travel to support offsite executive meetings.
